Scenario before digital transformation of finance processes

PROBLEM

The company has various finance processes like handling aged accounts receivables, writing off some of those aged AR based on certain approvals, Asset tracking &writing off assets based on certain approvals, New assets investment approval process, a very complex process of pricing decision-making while closing new customer orders, etc.

Those were complex processes involving multiple business functions and a chain of approvals. In the backend, they implemented an ERP system; however, these processes have certain complexities that are not mapped to the ERP system. Keeping track of these processes manually was very inefficient and error-prone, and most importantly, it was very difficult to keep an audit trail of approvals. It would take lot of efforts of finance team during their finance audits to provide the audit trails of approvals for these processes

Finance controllers were looking for some way where they could have efficient processes, and can rely on those for transparency.

SOLUTION

Draeger India selected NectorGlob Technologies for this digital transformation project. During our initial interactions with finance teams we understood the complexities of processes and the need of transparency for audit.

The most challenging part was the complex structure of approval processes. We used various BA techniques to understand the existing processes, its interaction with ERP system, the nature of approvals and exact need of data required for audits. We designed the new process landscape covering various aspects like data structures, approval workflows, audit trails of data changes, interface with existing ERP system etc.

We used agile scrum for implementing the processes in various sprints without disturbing the regular operation. Considering the existing IT landscape at Dreager India, we selected Microsoft Power Platform for implementing this digital transformation.

We achieved the most important aspect of transparency of the entire process in general and approval process in particular. The new system also addressed another important aspect of audit trail of entire processes. The processes became efficient saving lot of person-hours of finance team during the regular processes and during the finance audits.

PROBLEM

The company provides various services to their customers in various fields.Due to the nature of their services, they have multiple teams dedicated to each of those services. When there is a need of multiple services from their client, multiple teams were trying to serve the same customer creating some miscommunication between teams and with customers.
This kind of scenario led to conflicts between the teams and also it created an unhealthy impression with the customer. We created various scenarios in which Crowe is giving services to their customers and identified areas where possible conflicts and miscommunications could occur. After thorough discussions with various teams, we designed a process which will enable teams to communicate with each other about their existing engagements with customers. Also there were certain processes which will send automated mail notifications to different teams.
The entire process was implemented using Microsoft Power Platform so that teams can access the information from anywhere and from any device.

Scenarios before Digital Transformation of HR processes

PROBLEM

This organization various HR processes like Candidate finalization, processing job offers, Employee onboarding, Employee document management, periodic records etc. Earlier they had legacy system for some processes and some of them were manual processes.
The processes were not very efficient and streamlined. Manual record keeping was very tedious and error prone. Most important part was handling employee documents which they have submitted during joining and later during periodic reviews. Also, employees sitting at different locations aspect was adding another challenge in the above processes. Management decided to redesign the whole process and transform those using a robust digital system.
Their main requirement was the document management system, which was integral part of every process within HR function. There was also a document approval process which they wanted to incorporate as digital approval process

In the requirement gathering phase, we studied all their legacy and manual processes and documented those. The challenging part was the complex document maintenance process and its approval process irrespective of physical location of employee. During the design phase, we kept the document management system as a backbone of the entire HR function and every process was liked to this central process.
